AIBusinessEarn Inc. (“we”, “us”, “the Hall”) is committed to protecting the personal information of visitors, inquiring learners, and apprentices who interact with our chartered tradescraft hall. This Privacy Policy describes how we collect, use, disclose, and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and the ten fair information principles set out in Schedule 1 of PIPEDA, as well as applicable provincial privacy legislation including Ontario's privacy framework and British Columbia's Personal Information Protection Act (PIPA) where relevant to our hosting arrangements.

2. Privacy Officer
Our Privacy Officer is the Warden of Apprentices, who may be reached at [email protected]. The Privacy Officer is responsible for ensuring compliance with PIPEDA, responding to access and correction requests, and overseeing the handling of privacy-related inquiries from apprentices, visitors, and regulatory authorities including the Office of the Privacy Commissioner of Canada.
3. What Personal Information We Collect
We may collect the following categories of personal information:
- Contact form data: name, email address, optional telephone number, subject selection, and message content submitted through /contact.php.
- Apprenticeship records: information provided during articles of indenture, including name, contact details, employment sector, and progress recorded in the ledger of apprentices.
- Navigation data: IP address, browser user-agent string, referring URL, pages visited, and timestamps collected automatically by our web server and, with consent, by analytical tools.
- Cookie data: consent preferences stored in localStorage and, if consented, analytical cookie identifiers. See our Cookie Policy for details.
- Communication records: email correspondence, telephone notes, and consultation records maintained by the scribe of the hall.
We do not collect sensitive personal information such as financial account numbers, government identity document numbers, or health information through this website. We do not knowingly collect personal information from individuals under the age of sixteen without parental consent.
4. Purposes of Collection and Use
We collect and use personal information for the following purposes:
- To respond to inquiries submitted through the contact form or by email or telephone.
- To administer articles of indenture, supervised livery hours, panel chamber examinations, and conferral ceremonies.
- To maintain the ledger of apprentices and permanent records of conferred craftsperson certificates.
- To send administrative communications related to apprenticeship services, including scheduling, programme updates, and ceremonial notices.
- To send commercial electronic messages only where express consent has been obtained under Canada's Anti-Spam Legislation (CASL).
- To improve website functionality and, with consent, to measure anonymous audience patterns.
- To comply with legal obligations, including tax reporting, private career college registration requirements, and responses to lawful requests from authorities.
- To protect against fraud, abuse, and unauthorised access, including through IP-based rate limiting on the contact form.
5. Legal Basis Under PIPEDA
Under PIPEDA, we rely on the following bases for processing personal information:
- Consent: express consent obtained through the contact form checkbox for collection and use of form data and for commercial electronic messages; express consent for analytical cookies through the cookie banner.
- Legitimate business interest: processing navigation data and server logs necessary to operate and secure the website, respond to inquiries, and maintain apprenticeship records, where such processing is reasonable and does not override the individual's privacy rights.
- Legal obligation: retention of certain records as required by tax legislation, corporate law, and private career college registration requirements.
You may withdraw consent at any time by contacting our Privacy Officer, subject to legal or contractual restrictions on withdrawal and our need to retain certain records for statutory purposes.
6. Recipients and Disclosure
Personal information may be shared with the following recipients:
- Internal team: the warden of apprentices, scribe of the hall, master craftsman, and panel examiner, on a need-to-know basis for apprenticeship administration.
- Hosting provider: Canadian Web Hosting (8208 Swenson Way, Delta, BC V4G 1J5), which stores website data on servers located in Canada.
- Email processor: our domain email infrastructure processes contact form submissions; messages are transmitted to designated staff mailboxes.
- Legal and regulatory authorities: where required by law, court order, or regulatory investigation.
We do not sell, rent, or trade personal information to third parties for marketing purposes. We do not transfer personal information outside Canada except where necessary for email delivery infrastructure, in which case we ensure comparable protection through contractual safeguards.
7. Retention Period
Contact form submissions and general inquiry correspondence are retained for three years following the last communication, unless a longer period is required for ongoing apprenticeship services. Apprenticeship ledger entries and articles of indenture are retained for seven years following completion or termination, in accordance with private career college record-keeping requirements and statutory accounting obligations. Cookie consent preferences are retained for six months in localStorage, aligned with Office of the Privacy Commissioner guidance. Server log files are retained for ninety days unless required for security investigation.
8. Your Rights Under PIPEDA
Under Sections 8 and 9 of PIPEDA, you have the right to:
- Access: request access to personal information we hold about you and receive an account of how it has been used and disclosed.
- Correction: request correction of inaccurate or incomplete personal information.
- Withdrawal of consent: withdraw consent for future collection, use, or disclosure, subject to legal and contractual limitations.
- Challenge compliance: challenge our compliance with PIPEDA by contacting our Privacy Officer or filing a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
Access and correction requests should be submitted in writing to [email protected]. We will respond within thirty days, or notify you of any extension permitted under PIPEDA.
9. CASL Compliance
Canada's Anti-Spam Legislation (CASL) regulates commercial electronic messages. We send commercial electronic messages — including programme announcements, seasonal offerings, and hall news — only to individuals who have provided express consent through an unchecked consent checkbox on our contact form or through a separate written consent mechanism. Each message identifies AIBusinessEarn Inc. as the sender, includes our contact information, and provides a functional unsubscribe mechanism. Unsubscribe requests are processed within ten business days. Transactional messages related to active apprenticeship services (scheduling, examination notices, conferral invitations) are not commercial electronic messages under CASL.
10. Security Measures
We implement reasonable administrative, technical, and physical safeguards to protect personal information against unauthorised access, disclosure, alteration, and destruction. Measures include HTTPS encryption for all website traffic, access controls limiting ledger and correspondence access to authorised hall staff, server-side input validation and rate limiting on the contact form, and secure storage of apprenticeship records. No method of electronic transmission or storage is completely secure; we cannot guarantee absolute security but commit to notifying affected individuals and the Privacy Commissioner of significant breaches as required by PIPEDA.
11. Cookies and Tracking
We use cookies and localStorage as described in our Cookie Policy. No third-party tracking pixels or analytical scripts load before you provide consent through the cookie banner. You may manage preferences at any time by clearing localStorage or revisiting the cookie banner controls.
12. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices, technology, or legal requirements. Material changes will be posted on this page with an updated “Last updated” date. We encourage you to review this policy periodically. Continued use of the website after changes constitutes acknowledgment of the updated policy, subject to your rights under PIPEDA.
